Until now, Simplafy Health worked with a single user per clinic — the owner. Receptionists accessed the schedule using the doctor's login. There was no way to tell what each person could do, revoke a former employee's access or track who did what. The team management launch solves this: email invitations, three roles with distinct permissions and access control across all modules of the system.

The problem this solves

How many clinics have been in the situation where a former employee still has access to the system months after leaving? Or where a receptionist has to use the doctor's login to book appointments — with no traceability and a security risk? The single-user model worked for the solo practice. Clinics with two doctors and a receptionist had to share credentials or be left out. The problem is not exclusive to Simplafy: legacy clinic management systems charge a lot for extra seats and make team onboarding bureaucratic. The difference is that, until this launch, Simplafy did not even offer the option.

With team management, the administrator invites members by email. Each invitee receives a link valid for 72 hours, creates their own password and enters the system with a defined role: Administrator (owner, full access), Collaborator (front desk, schedule, communication — no medical records and no financials) or Healthcare Professional (doctor, nurse, psychologist — medical records and schedule for their own patients only). The invitation can be resent or canceled at any time.

Three roles, clear permissions

The Administrator sees everything: team, financials, settings, medical records. The Collaborator manages scheduling and communication with patients — ideal for receptionists and secretaries who do not need to access clinical data. The Healthcare Professional accesses medical records and the schedule only for the patients they treat. The interface automatically hides the menus the user cannot access. Every action in the system requires the correct role. The result: the receptionist schedules and confirms without seeing medical records; the doctor fills in and signs prescriptions without touching financials; the manager controls who comes in and who leaves.

When a collaborator is removed, their session is blocked immediately — there is no need to wait for the token to expire. Legacy systems tend to take a while; here revocation is instant. The system guarantees that no clinic is left without at least one active Administrator.

Why this matters for those who manage a clinic

Clinics with teams were, until now, a weak spot for Simplafy. Either everyone shared a login (bad) or the clinic could not onboard the whole team (also bad). With this launch, clinics with two, five or ten professionals can have each person with their own account, their own role and their own trail of actions.

Traceability increases: who scheduled, who changed, who accessed what. For managers who need to answer to audits or understand what happened in a specific episode, this makes a difference. And it reduces operational risk — a removed former employee no longer has access. Each user's profile lets them change their own password in the settings.

What to expect in practice

The flow is straightforward: the administrator goes to the team area and sends the email invitation with the chosen role. The invitee receives the link, clicks it, sets a password and enters. If a member was removed and is invited again, the system reactivates the account without duplicating data. Onboarding new collaborators no longer depends on sharing credentials.

Access control is applied across 16 modules of the system — each operation requires the correct role. It is not just a screen that hides buttons; the check happens on every action. A suspended user loses access immediately. This security layer is what allows receptionists and doctors to share the same system without one seeing what they should not.

Simplafy Health now competes more completely with clinic management systems that already offer multiple users — but with a modern, mobile-first experience. For clinics that are growing, this is the step that was missing. The product now scales along with the team: from one user to the whole clinic.
