Campaigns in Simplafy Hub

Anyone who sells or serves customers knows the cycle: the customer talks to you, becomes a contact in the CRM, gets a price, closes, and then someone has to remind them, notify them and issue the invoice. Each step usually lives in a different tool, and the team's time disappears on the way between them.

The October news from Simplafy Hub tackles that path. Campaigns arrived, to talk to your audience by e-mail and WhatsApp, along with two new apps that you install from the Apps menu: Catalog and Invoicing. Everything talks to the CRM you already use in the Hub.

Campaigns: e-mail and WhatsApp for the right audience

A campaign is a send to many contacts at once, done the right way: to the people you chose, with the message you prepared, and with control over what happened afterward. In the Hub, it works like this:

  • Audience built from the CRM. You use the same filters as the CRM and see how many people will receive it before sending. When you build the campaign, a card also shows how many contacts are left out because they received another campaign in the last few days.
  • Those who opted out stay out. Anyone who asked to stop receiving messages on a channel does not receive campaigns on that channel.
  • E-mail or WhatsApp. For e-mail, you write the message in the Hub or import ready-made HTML, which the Hub analyzes before saving. For WhatsApp, the campaign uses an approved template. AI helps connect the variables, suggesting where each piece of data comes from, such as the contact's name.
  • Sent from your domain. You choose the sending mailbox with your company's e-mail.
  • Preview and test. See the e-mail with the data of a sample contact and, if you want, send a test to yourself before sending.
  • Now or scheduled. Outside your account's sending hours, the campaign pauses and resumes on its own.
  • Results at a glance. Track who received it, failures and unsubscribes, and export the list. The export downloads a .zip with the recipients and the summary, with accents and dates correct in Excel.

How it shows up day to day

  • Clinic: remind patients who haven't come back in a few months, choosing in the CRM only those who fit, and notify them on WhatsApp with an approved template.
  • Store: tell people who have already bought about a new collection, by e-mail, with the HTML the design team already had ready.
  • Service provider: reactivate old customers with a simple message, without bothering those who asked to leave the list.

Catalog: your products and services in one place

The Catalog is a new app, which you install in Apps with one click. In it you register products and services with a photo, define variations, such as size or color, and organize everything into collections. Each item shows its main photo in the list.

The gain for support: the agent consults the catalog and tells the customer the price and how long the service takes, instead of depending on someone to answer "how much is it?". If you use the Hub through an assistant such as ChatGPT or Claude, the Catalog can also be queried there, adding up the duration of services and managing collections and items.

When you delete an item, the Hub shows where it is used and offers Archive instead of deleting.

  • Store: the t-shirt in three sizes and two colors, each variation with its own price, and the agent answering on WhatsApp.
  • Clinic or studio: consultation, cleaning and follow-up, each with a price and duration, for the agent to tell the customer.

Invoicing: issue the NFS-e without leaving the Hub

Invoicing in Simplafy Hub

The second new app is Invoicing. You issue, resend and cancel service invoices (NFS-e) without leaving the Hub. The model is by packages: 50, 200 or 1,000 invoices, valid for 12 months, with a warning when the balance is running low.

When you need to, you download the PDF and XML of the invoices in the list in a single file (up to 100 at a time; filter by status or customer), and the export button is only active when there is an authorized or canceled invoice. Before canceling, the Hub warns that canceling does not return the invoice to the balance. If you cancel an invoice directly on the city hall portal, the Hub starts showing it as canceled.

  • Service provider: closed the service, issued the invoice in the same tool where the contact already is.
  • Clinic: the month's appointment invoices gathered for the accountant, in PDF and XML.

Journeys more connected to the CRM

Journeys, the Hub's automations, gained several steps that talk directly to the CRM:

  • Update record fields: writes one or several fields at once, or adds a number to the value already there, such as counting one more contact made.
  • Create CRM records: a new step creates a record, such as a Work order, at the stage you choose and already linked to the contact.
  • Start from the contact's message: the "Message received from the contact" trigger fires the journey when the person writes, on any connected channel.
  • Only run if...: you choose who enters the journey, and in Executions those left out appear as "Did not meet the filter".
  • Look up a contact and ask an agent: the journey searches for a contact in the CRM, or asks one of your agents a question, and uses the answer in the following steps, without sending anything to the contact.
  • Generate an image and handle records one at a time: the Generate image step creates the image from the description alone and shows, before saving, which model it uses and that each image is charged. In "Read records", the "One at a time" option runs the following steps for each record read.

CRM metrics in your dashboards

You can now build cards in the dashboard with the deals at each stage, the open value and the closing forecast. Just go to Dashboard, edit the dashboard, choose the CRM source and then CRM Metrics. Each card shows the update time, so you know when the numbers are from.

The team's agent, now on Telegram

If your team has an agent just for internal use, it can chat with it on Telegram and ask for things like "move Ana Souza's deal to Proposal sent and let her know". It moves the deal to the next stage and sends the message for you. This applies to agents with the Operator Scope on the Simplafy CRM tool, and the agent must have access set to Closed list and no Web Chat.

Everything the agent sends to a contact, on Telegram or WhatsApp, appears in that contact's conversation in the Inbox, so the team sees the full history.

More news

  • Web Chat that opens the deal in the pipeline on its own when the visitor identifies themselves.
  • Tags on the contact record, with suggestions as you type.
  • Filter by State and City in Companies.
  • The agent understands when the customer reacts with an emoji or replies to a specific message.
  • AI credit warning that arrives first on the Hub bell, and a new warning when the credit runs out.
  • In Journeys, the Send template step lists the templates of any official WhatsApp, connected directly to Meta or through a partner.

Hub evolves every day.
